Structural items missing from condition report

    Hi, is it normal for a hot water system, air conditioning system, and staircase to be excluded from a condition report? It's a 2BR townhouse so there's a floating timber staircase and aircon units both downstairs and upstairs.

    I don’t understand why are you classing HWS and air-con as “structural”?

    Hi. True. I'm not an expert. This is my first time as a landlord.
    Can you offer any advice around the condition report.

    I can’t give you advice as I am not qualified nor are you paying me ;) but I will give you my opinion if I am able.

    Is this report an Entry Report, a Routine Inspection Report or an Exit Report?

    An opinion would be swell.
    This is an ingoing condition report. Entry report, I guess, as you called it.
    I just think it's odd that certain things were left off, but it might be an industry norm.

    You want a staircase to be in the entry report???

    If it exists in the house, yes? Why not? What if the bannister is damaged during the course of the tenancy?
    You tell me, I'm not the expert.

    I would expect that those three items would be included in an Entry Report, with some words about their current condition plus lots and lots of photos of everything (including air-con remotes, garage door remotes, door handles, power points, light switches, ...).

    Our PM did one recently and it was 89 pages long.

    When your tenants vacate some time in the future, this Report is your best line of defence if there are any issues.

    If I was you, I would ask your PM to redo/complete the Report to a professional and acceptable standard.

    If they won’t oblige, I would seriously consider changing PM.

    Yes, these items should be shown on the report.

    Stairs form part of whichever room they're located. HWS & AC should be marked sad working/not working if there is power to test otherwise should be tested when power is available ie tenant in place. Did they test GPOs or aerial etc?

    Every report layout is slightly different, but general rule of thumb I would add an area for stairs (therefore not in general) and also the A/C would be included in each room.
    The HWS would depend on whether it's accessible or not.

    Do they at least have photos?

    There are minimal, grainy, black and white photos of some walls and cabinets and floorboards, some of the bathroom and toilet. None of the stairs, the A/C units or the garden, which is my biggest problem right now.

    They're already getting the sack as soon as I can organise a handover, but your idea of asking them to re-do the condition report is a good one.

    Apparently there's a guy in one of the tourist destinations in India who uses at 1880's camera to take b&w portrait photos. Are they related to your agent?

    Those things should be on the condition report. Limited point though in just a pic of an a/c for example, you are looking for remotes and the condition, are the filters clean etc. Even the one page you sent looks very light on details. Photos are great but it should have thorough notes as well where required.

    Based on your screenshot of the report, that's a slack report and I'd be a bit worried about how the rest looks.

    Regarding the photos- That's just how ADL Forms attaches them to the report. The original file has better resolution copies, make sure your new agent gets the original file and not just the same photocopy you got when they handover.

    I do my own pre and post inspections, but....

    I would not expect stairs to be there, unless there was something to note about them, ACs, yes, and remotes supplied etc, HWS, can't remember if anyone noted anything about them, they are usually just working or not, I would expect they take a photo, but you will probably soon learn that the PMs never know what or how old anything is and your taken on many rides re maintenance...enjoy the ride :)
